HR & Office Manager / Executive & Finance Assistance (m/f)


Desired Start Date: 15 November 2017 or 1 January 2018

Conditions: 30-40h/week, fixed-term contract for 16-18 months (maternity leave replacement) – option for permanent contract

We are looking for a responsible HR & Office Manager, as well as Executive & Finance Assistance to provide personalized and administrative support in a well-organized and timely manner. You will support the management and team of TwentyBN by taking responsibility for various administrative tasks, including but not limited to the following:

Human Resources:

  • Payroll management
  • Recruitment from creating job descriptions to interview process to contract management
  • Relocation support (incl. visa process, German bureaucracy, etc.)
  • Maintenance and improvement of our internal HR service from onboarding to offboarding
  • Point of contact for our management and team with every admin/hr/payroll related question
  • Guidance / team lead function for future assistance in Canada


  • Preparatory accounting for our Berlin office and our Canadian subsidiary
  • Main point of contact for our external tax consultants and payroll offices in Germany and Canada
  • Assistance for controlling and reports
  • Maintenance of our bank accounts, receipts and invoices
  • guidance / team lead function for future assistance in Canada

Office Management:

  • Email and phone correspondence including mail and invoice management
  • Vendor management
  • Responsibility for office supplies & amenities
  • Support and management of the upcoming office relocation in 2018
  • Travel management

Executive Assistance:

  • Management support with changing tasks
  • Daily operations including calendar management, travel bookings and expenses
  • Responsibility for compliance by supporting management and team in writing & reviewing new contracts and communicating with German authorities and follow up processes (e.g. with bank, accountants, lawyers)


  • Management of various short-term projects
  • Organization of monthly team events, as well as little team treats and management events
  • High level communication with internal and external contact persons

  • At least 2-3 years experience in HR in an international environment
  • Proficiency in German labor law (must) and basic experience in German bookkeeping / tax law (preferred)
  • Previous experience as Executive Assistance / Office Manager or similar
  • Team Lead experience preferred – this position will lead/give guidance to partnering assistance position in Toronto in 2018
  • Excellent organizational skills with attention to detail and the ability to prioritize and react flexibly to changes
  • Ability to work independently , exercise good judgment and solve problems with confidence
  • Great understanding of discretion and diplomacy
  • Excellent communication and problem-solving skills and positive, dynamic personality
  • Ability to constantly question existing workflows and processes by suggesting and executing improvements
  • Passion for performing a variety of tasks and working across different departments
  • First experience with communication tools such as Google for Business, Slack, Trello etc. is a plus
  • Fluent in German (ideally native) and English (verbal and written on a professional level) – we are an international team, but you also have to deal with German service providers and authorities
